Give each device an ID
In facilities with more than one pool and technical volume, pumps of the same brand may operate in different circuits. Use consistent labeling that associates the pool, circuit, and device rather than a generic name such as Pump 1. When the photo, model and serial number are linked to that record, there is less chance of tampering with the wrong part.
Purchasing and business registration are separate
The product name on the invoice does not provide all the information necessary for maintenance. The current version of the installation date, commissioning settings, technical sheet, service contact and warranty certificate are also stored. Warranty conditions are followed through the relevant product and contract rather than a general company promise.
Simple inventory columns
- Device label, location, brand and exact model
- Serial number and label photo
- The pool or circuit it is connected to
- Maintenance date, operation performed and next check
- Access to documentation and spare parts records
Update after change
When a pump or control card is changed, the old device's information should not remain as an active record. The replacement date and new model are recorded; If the schema or program is affected, these are also renewed. Thus, even if the personnel changes, business information is not lost.
